Keep prices in an approved rate source and calculate quote amounts through explicit rules. An AI component may suggest which service the request describes, but an uncertain match should require confirmation. It should not invent a rate to complete an attractive-looking quotation.
The rate source can initially be a controlled spreadsheet if that is what the business maintains. The important questions are which version applies, which units the rates use and who can approve exceptions.
A fictional draft with visible arithmetic
Request Q-204 asks for eight hours of on-site support and one delivery. Rate sheet RS-12 defines support at GBP 65 per hour and delivery at GBP 45 per visit. The proposed subtotal is 8 × 65 + 45 = GBP 565, before any separately determined tax or other charges.
The assistant should show those rate identifiers and calculations. If the customer asks for weekend support but RS-12 has no weekend rule, the draft should contain a pricing question, not an improvised premium.
| Line | Quantity and unit | Rate source | Amount |
|---|---|---|---|
| On-site support | 8 hours | RS-12, SUP-H: GBP 65/hour | GBP 520 |
| Delivery | 1 visit | RS-12, DEL-V: GBP 45/visit | GBP 45 |
| Weekend arrangement | Unconfirmed | No applicable rule found | Needs approval |
Make each rate unambiguous
Store a stable rate identifier, description, currency, unit, effective dates and any applicability conditions. A bare number next to “support” is insufficient if some jobs use hourly pricing and others use a fixed package.
Record whether a customer-specific agreement overrides the standard rate. Do not let the software decide that a historic discount is permanently applicable. The commercial owner should define precedence between standard, customer-specific and individually approved prices.
- Use explicit units for both quantity and price.
- Keep calculation rules outside free-form generated text.
- Preserve the rate-sheet version in the draft.
- Flag missing, expired or competing rates.
- Require a reason for manual price overrides.
- Recalculate totals after an approved change.
Check existing quote tools
Pipedrive Smart Docs can populate document templates from CRM data. That may already cover the presentation layer. Test whether your existing quoting product also handles rate versions and approval rules before building a separate calculator.
The custom gap, if one exists, may be mapping a complex request onto approved line items while exposing ambiguity. Keep that mapping separate from the calculation so a reviewer can correct the service selection without editing hidden arithmetic.
Test the cases that break simple multiplication
Minimum charges, travel bands, volume tiers and mixed currencies need explicit treatment. For a minimum charge, show whether it replaces or supplements a line. For a tier, show whether the selected rate applies to all units or only units inside that band.
Rounding also needs an agreed rule. Rounding each line and rounding only the subtotal can produce different results. The implementer should follow the business’s approved calculation method, not choose whichever output matches a sample by coincidence.
Do not copy tax decisions from a fictional demonstration. Use the accounting system or the responsible adviser’s approved configuration for the business’s actual situation.
Save the calculation inputs with the approved draft. If RS-13 replaces RS-12 tomorrow, the business should still be able to reproduce why Q-204 totalled GBP 565 when it was reviewed. Current rates should not silently recalculate an issued offer.
Test against known calculations
Prepare authorised quote examples with expected line selections and totals. Include a missing rate, a customer override, a date outside the rate’s validity and a unit mismatch. Check both the calculations and the reasons a draft was held for review.
Clear Anvil’s synthetic scope-and-quote demonstration uses editable assumptions and fixed templates. For a real implementation, replace illustrative rates with approved records and keep the final offer under commercial review. A draft that correctly refuses to price an unresolved item is a useful result.
